Directly to the Embassy

Applicant applying directly to the Embassy can be divided in two groups:

  • Persons who are invited to apply directly
  • Persons who do not want to make use of the service of the V.A.C.

The following categories are invited to apply directly at the Embassy:

  • Ukrainian visa applicants who are family members (registered partners/ spouses or family members under 21 years of age) of a Union (EER) citizen, meaning a Member State national living in another Member State;
  • Service passports holders with a letter from the Ministry of Foreign Affairs (Ukrainian diplomatic passport holders do NOT require a visa);
  • Invitees of the Ukrainian Embassy in The Hague;
  • Emergency cases (to receive urgent medical treatment, to attend a funeral);
  • Provisional sojourn visas (MVV);
  1. Appointment for submitting the visa application
    You are invited to come to the visa department of the Embassy on any working-day between 10.00 - 12.00 hrs. All persons who apply directly to the Embassy should come in person, except for holders of a service or diplomatic passport. If you come with 10 or more applications, please call for an appointment (+38) 0 44 4908204 between 12.00-13.00 hrs.

  2. Payment
    The visa fee is payable in cash at the time of submitting your application and is non refundable.

  3. Processing time
    In general an application submitted between 10.00-12.00 hrs is finalised at 16.30 hrs the same day.

    In some cases the processing time may take longer.
    • Omission: in case your application is incomplete or additional information is necessary to take a decision on your visa application, you may be asked to submit additional documents and/ or you may be asked to come for an (additional) interview. In this case the processing time takes generally 3 extra working days from the moment the additional documents are submitted and/or the additional interview has been completed. Please note that the Embassy does not accept additional documents per (e)mail or fax. Documents can also be sent via TNT in case of omission. Maximum omission time is 30 days.
    • Consultation: for some nationalities (such as Belarussians) other Schengen countries need to be consulted before issuing visa. This consultation process may take up to two weeks;
    • Forwarding visa applications to national services (Ministry of Foreign Affairs/ Immigration and Naturalisation Service): if applications have to be forwarded to the Netherlands for further enquiry, the processing time may even take up to 2 months.

    Please make sure your (mobile) phone number is clearly mentioned on the application form in case we need to contact you for further information.

  4. How to check the status of your application?
    If your application takes longer than one day, you may call visa information line of the Embassy to find out the status of your application. The information line (+38) 0 44 4908204 can be reached every working day between 12-13.00 hrs.

  5. Collection of your passport
    Your passport can be collected at the Embassy on working days at 16.30 hrs. If you do not collect your passport yourself, a signed authorisation letter and the copy of the representative's passport should be given to the person who will collect the passport on your behalf.

Important Note:

Visa applicants are advised not to make any final travel bookings until the requested visa has been issued. The Embassy and the VAC cannot be held liable for any costs of travel bookings in case the visa has not been issued or has not been issued in time.

Visa Applicants may always request their passports back from the Embassy before a decision on the application has been taken. Should applicants need their passports back for travel purposes during the processing time of a visa application, they have the possibility to resubmit their passports for further visa processing once a positive decision has been taken.

Visa applicants not belonging to the above mentioned categories who would like to apply directly to the Embassy:

If you do not want to make use of the advantages relating to submitting your application through the external service provider, you have the possibility to submit your application directly at the Embassy.

  1. Appointment for submitting the application and interview appointment (if applicable)
    You have to make an appointment with the visa department of the Embassy by phone. You can reach the visa department on working days between 12.00-13.00 hrs on phone number (+38) 0 44 4908204. Appointments for submitting your application directly to the Embassy will be exclusively on Fridays.

  2. Submitting the application
    The Embassy will accept your application in accordance with the appointment and the interview will be conducted during the submission of the documents.

  3. Payment
    The visa fee is payable in cash at the time of submitting your application and is non-refundable.

  4. Processing time
    In general, your application is finalised within ten calendar days.

    In some cases the processing time may take longer.
